Documents (RAG)

Add PDFs or text for the AI to search when answering guests.

You can upload documents (e.g. PDFs, house manuals) per property. The AI can then search this content (RAG: retrieval-augmented generation) to answer guest questions with details from your own materials.

When to use documents

  • House manual — Appliances, WiFi, trash, parking, emergency contacts.
  • Policies — Cancellation, extra guests, pets, noise.
  • Local guide — Restaurants, transport, tips (if not fully covered by FAQ and attractions).

Documents complement FAQ and rules: FAQ is best for short, frequent answers; documents are for longer or structured content the AI can quote or summarize.

How it works

  • You upload files (or paste text) in AI ConfigDocuments.
  • PingTeo indexes the content so it can be searched quickly.
  • When a guest asks something, the AI retrieves relevant chunks and uses them to generate a reply. It will not invent details that aren’t in your docs.

Limits

  • Storage per property — Your plan may limit total document size (e.g. MB per property). Check Settings or plan details.
  • File types — Typically PDF and maybe plain text. Follow the upload options in the dashboard.

Tips

  • Clear structure — Headings and short paragraphs help the AI find the right section.
  • Up to date — Update or re-upload when you change WiFi, contacts, or rules.
  • No sensitive secrets in plain text — Prefer “code sent before arrival” or use a secure channel for codes; avoid hardcoding in shared docs if possible.
