AI agent & guest messages
How the AI agent and guest conversations work together.
The AI agent is the persona and brain behind automated replies. Guest messages are the input; the agent’s reply is the output.
The AI agent
For each property you configure an agent with:
- Name — How the agent signs messages (e.g. “Marie”, “Villa Soleil Team”).
- Tone — e.g. friendly, professional, casual, formal.
- Check-in and check-out rules — So the AI can answer arrival/departure questions accurately.
- FAQ — Common questions and answers (Wi‑Fi, parking, appliances).
- Local attractions — Recommendations with name, description, and distance.
The agent uses this plus reservation context (guest name, dates, number of guests) and conversation history to generate one reply at a time.
Guest messages
- Messages are per reservation: each thread is tied to one booking.
- The AI only replies when the last message in the thread is from the guest. If you’ve already replied, the AI won’t double-reply.
- The agent is turned on or off per property. If the agent is off, PingTeo does not generate or send replies for that property.
One reply at a time
PingTeo generates a single reply for the latest guest message (or batch of messages). It does not send multiple unsolicited messages in a row. You can always step in and type or edit replies in the Messages dashboard.
